Why crews lose receipts — and the cheapest way to stop it

· 4 min

On most small jobs, receipts are collected three times: once at the register, once when someone remembers to photograph them, and once when the accountant asks for them in January. Each hand-off loses a few.

The reason is not carelessness. It's that filing a receipt requires opening a different app than the one the crew is already in. Any step that breaks the flow of the workday gets skipped when the day gets busy.

The fix is to move the filing step into the chat the crew already uses. A photo sent to the group is the whole workflow — extraction, categorization and job tagging happen behind it.

The measurable result is boring and valuable: a spend record that is complete at the end of the month rather than reconstructed at the end of the year.
